Human Capital Business Solutions Ltd is a Boutique HR Advisory Firm that specializes in strategic HR Consulting, Talent Acquisition & Development, Risk Management and Business Process Outsourced Services with our Headquarters based in Uganda and Country Office in Tanzania.
On behalf of our client in the NGO sector, we are seeking a competent and experienced Programs & Grants Associate to be based in Kampala, Uganda.
Reports To: The Programs/Grants Manager
Duty Station: Kampala, Uganda
Job Summary: The Programs & Grants Associate will be responsible for supporting the design, implementation, monitoring, and reporting of projects and grants within the organization. This role also involves ensuring compliance with donor requirements, coordinating program activities, tracking project performance, and supporting proposal development and grant management processes.
Main Duties and Responsibilities
Program Coordination and Implementation
- Support the planning and implementation of program activities in line with project work plans and objectives.
- Assist in coordinating field activities, logistics, and communication with implementing partners.
- Participate in project meetings, workshops, and training sessions to ensure timely program delivery.
- Maintain updated records of program progress and ensure alignment with the organization’s strategic priorities.
Grants Management
- Assist in monitoring the implementation of grants to ensure adherence to donor agreements, budgets, and timelines.
- Support in preparing grant documentation, including agreements, amendments, and reports.
- Maintain a grants’ tracking system to monitor funding cycles, reporting deadlines, and compliance requirements.
- Coordinate with finance teams to ensure proper financial tracking and reporting of grant expenditures.
Proposal Development and Donor Engagement
- Support the development of concept notes, proposals, and budgets for new funding opportunities.
- Contribute to research and data collection for program design and donor submissions.
- Maintain donor files and ensure timely submission of required reports and documentation.
- Assist in coordinating donor visits and communications to highlight project impact and success stories.
Monitoring, Evaluation, and Reporting
- Work closely with the M&E team to collect, analyze, and report on project performance data.
- Support preparation of high-quality narrative and financial reports for internal and external stakeholders.
- Identify challenges and lessons learned to improve program implementation and impact.
Compliance and Documentation
- Ensure adherence to donor and organizational policies, procedures, and reporting standards.
- Maintain organized and up-to-date program and grant files (both electronic and hard copies).
- Support capacity-building initiatives for staff and partners on grant compliance and reporting requirements.
Qualifications, Experience, and Skills
- Bachelor's degree in Development Studies, Social Sciences, Project Management, Public Administration, or a related field.
- Additional training in Grants Management, Monitoring and Evaluation, or Project Planning is an advantage.
- At least 3-5 years of experience in program coordination or grants management within an NGO or donor-funded project.
- Strong knowledge of proposal development and donor reporting.
- Familiarity with project management tools and donor compliance frameworks.
- Strong analytical, organizational, and time management skills.
- Excellent writing and communication abilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and data management tools.
- High attention to detail and accuracy.
- Ability to work independently and collaboratively in a multicultural environment.
- Strong ethical standards and commitment to transparency and accountability.
Barriers to Success in Role
- Limited or lack of knowledge of donor requirements and compliance standards.
- Inability to track multiple projects, deadlines and inefficient resource utilization.
